daunting task. There are so many options and deciding
which piece of furniture will work best can be difficult.

WHEN ORGANIZING A SPECIAL SERMON OR EVENT, WHAT WOULD YOU
RECOMMEND DOING TO GET THE WORD OUT TO THE COMMUNITY?
There are several things I would do to get ready for a
special sermon or guest speaker. I will explain in
detail what steps you should take.
Step 1. I would start off by creating a promotional flier
or brochure. Along with that, I would consider creating
some type of printed program. These can be created on a
computer and duplicated with a copy machine. If you do not
have a person to do this for you, or do not have
specialized software or skills, you can use a program as
simple as Microsoft Word. Many word processors and flier
creation software include pre-designed templates that you
can fill out with the appropriate information. Once you
have the document created on a computer, you can then
print a master copy.
Step 2. Once the master copy has been created, you will
need to copy it. Most copy shops have copy machines and
digital duplicators you can use to do this. If you are
printing brochures, pamphlets or fliers on a regular
basis, you may even want to consider purchasing a copier
and doing everything in-house.
If you will be printing 50 copies or more, I
would consider using a digital duplicator. Digital
duplicators use ink, much like the old mimeograph machines,
rather than toner to make copies. Because the ink is so
inexpensive, copies are much less expensive than with a
toner-based copy machine. You can see what a digital

Step 3. Once the document has been printed, you will more
than likely need to fold it. For brochures, pamphlets and
fliers, a letter-fold or C-fold may be needed. For a
printed program, a single fold is usually done. Folding
the paper can be done by hand or with a machine. Folding
paper by hand is only recommended if creating a limited
number or programs/brochures. Because folding paper by hand
is slow, not to mention the paper cuts, most people prefer
to use an automatic paper folder. Again, this can be done
at a copy shop or in-house. Because paper folders are
relatively inexpensive, and are used on a regular basis,
many churches prefer to purchase a paper folder for

Step 4. Once the flier, brochure or program has been
created, it is usually necessary to present it to the
congregation or public. This can be done using a person,
passing the brochures out by hand. Another method of
distributing and displaying promotional literature is by
using a brochure rack. Brochure racks can be mounted on
a wall, or if portability is an issue, freestanding
brochure racks can be used. You can view the different

Step 5. Sometimes churches prefer to mail fliers rather
pass them out manually. Equipment is available to make
this easy. The first item you may want to consider using
is a tabbing machine. These machines will take a small
round sticker and seal the open end of a flier for mailing.
You have probably seen something similar to this in
your own mail. When the flier is received, the tab can
be easily broken and the flier opened up for reading.

Folder inserters are also very popular for mailing
fliers. Folder inserters will actually take the flier,
fold it, put it in an envelope and seal it shut. The
end result is ready to be mailed. Most mass mailings
are prepared using a folder inserter. These machines can
increase speed and efficiency while eliminating laborious

Step 6. Sometimes a brochure is not enough. If a speaker
is from out of town or is on a tour, larger signs may be
needed to advertise the rare event. For this purpose,
banner stands are recommended. Banner stands are designed
to hold large signs and let people know about events,
special speakers and sermons. Banners can be as simple as
solid text or as complex as a full-color photo with
multi-color fonts. Banners can vary in size from 11-inches
by 8 1/2-inches to 12 feet by 12 feet.
Printing banners for the stands is usually done by a third
party. Temporary banners can be printed on paper, where
long-term banners can be printed on canvas or vinyl.
Finding somebody to create a banner for your church can
be done on the Internet or by looking through the yellow
pages. You can also ask other businesses, that use banner
stands, who they have print their banners.
Most banner stands are portable and can be placed inside a
church or outside church doors for the public. Banner
stands have been very successful with churches and
universities. Banner stands can also be used to maintain
constant communication with the congregation, improve
visibility in the community and increase church attendance.
